LLC “Avicenna – Batumi Medical University” announces a vacancy for the position of learning process manager

Job Responsibilities of the learning process manager:
  • Maintains students’ personal files;
  • Participates in the process of concluding contracts with students and places the duly signed agreements in the students’ personal files;
  • Manages the school’s administrative documentation;
  • Upon the Dean’s instruction, prepares the necessary information for drafting legal acts related to the acquisition, suspension, restoration (return to studies), mobility, termination of student status, and credit recognition, and submits the prepared drafts for review (approval) to the relevant structural units/personnel of the university (legal, financial, and quality assurance departments);
  • Facilitates the implementation of measures and issuance of legal acts required to respond to students’ applications concerning the educational process;
  • Participates in the preparation of the academic timetable and staff workload schedule for each academic year, in coordination with the Dean of the School of Medicine;
  • Monitors the fulfillment of workloads (hours) by academic and invited staff according to the academic calendar and schedule;
  • Assists the head of the department in monitoring the workload performance of academic staff, teachers, and invited specialists;
  • At the Dean’s/Deputy Dean’s instruction, ensures the entry, updating, and reflection of relevant changes in students’ data within the electronic learning management system;
  • At the Dean’s/Deputy Dean’s instruction, ensures statistical processing of students’ academic data, and organizes the preparation and issuance of certificates concerning student status and academic performance;
  • Prepares student lists and other requested information;
  • In coordination with the Dean and Deputy Dean, prepares and disseminates information on the school’s activities and organization of the educational process to students, academic, and invited staff;
  • Maintains a register of contracts/memorandums signed with medical institutions (clinics) implementing the clinical component of the school’s programs, including all necessary details;
  • For the effective administration of the School of Medicine’s activities and implementation of its educational programs, performs the duties prescribed by Georgian legislation, university regulations (including the School of Medicine Statute), and instructions from the Dean, Deputy Dean, program director, and heads of the school’s departments;
Key Qualifications:
  • Higher education in Medicine, Healthcare, Biomedicine, or Natural Sciences (Biology, Chemistry);
  • At least 1 year of work experience (experience in a university environment is preferred);
  • Knowledge of English at a level not lower than B2;
  • Excellent command of office software programs;
